Privacy at a glance

We collect only the data needed to run campus dining services, complete orders, protect accounts, and support payments. We do not sell your personal information.

1. Information we collect

Depending on how you use the platform, we may collect your name, roll number or staff identifier, email address, phone number, password hash, wallet balance, order history, menu interactions, and support or audit records. We may also record device, browser, and session details needed to secure logins, kiosk operations, and troubleshooting.

2. How we use your information

Your information is used to create and verify accounts, process orders, manage wallet transactions, send verification and service emails, prevent fraud, generate receipts, support printing and live updates, and improve the reliability of the canteen system.

  • Authenticate users and enforce role-based access.
  • Fulfill orders and maintain transaction records.
  • Respond to payment issues, refunds, and support requests.

3. Sharing and disclosure

We share personal data only when necessary to operate the service, comply with institutional or legal obligations, or resolve transactions. This may include sharing order details with canteen staff, payment references with payment processors, and account details with authorized administrators. We do not sell or rent your personal information.

4. Payments and financial data

Payment-related information is processed to complete top-ups and purchases. We retain references required for reconciliation, dispute handling, and audit logs. Sensitive card details are handled by the relevant payment provider and are not stored in plain text by the canteen platform.

5. Data retention

We keep account, order, and audit data for as long as needed to support the canteen service, resolve disputes, meet record-keeping needs, and maintain security. When data is no longer required, it is deleted or anonymized where reasonably possible.

6. Security measures

We use role-based access, prepared statements, session controls, and operational logging to protect the platform. No online system is completely secure, but we work to reduce unauthorized access, misuse, and data loss through reasonable administrative and technical safeguards.

7. Your choices and rights

You may update your account details through the platform or by contacting support. You can also request help with account access, privacy questions, or corrections to incorrect profile information. Some records may need to be retained for operational, financial, or legal reasons even after an account change request.

8. Cookies and session data

We use session cookies and related browser storage to keep you signed in, secure your session, and remember interface preferences such as theme selection. These identifiers are used only to support the canteen experience and essential site functionality.

9. Third-party services

The platform may depend on external services such as email delivery, payment gateways, fonts, or analytics infrastructure. Those providers may process limited data according to their own privacy practices and service terms. We recommend reviewing their policies if you interact with them through the canteen platform.

10. Changes to this policy

We may revise this Privacy Policy to reflect technical, operational, or legal changes. When we do, we will update the effective date on this page. Continued use of the platform after a revision indicates acceptance of the updated policy.

11. Contact

If you have privacy questions or need help with your account data, contact the canteen administration or the support team for PSG iTech Canteen.
